Cancellation Policy
Vortex Security Services (“Vortex”) strives to ensure customer satisfaction while maintaining the integrity of our services. Below is our cancellation policy to clarify procedures and terms:
1. Cancellation Request Process
- Method: All cancellations must be submitted in writing via email to [email protected], with the subject line: “CANCELLATION: [Service Type/Contract Reference]”.
- Confirmation: You will receive a confirmation reply within 24 hours. Failure to confirm may delay processing.
2. Cancellation Timeline and Fees
- Free Cancellations (No Fee):
- Requests received at least 48 business hours before the scheduled service date/time are eligible for full refunds (excluding non-refundable deposits, if applicable).
- Partial Charge (50% Fee):
- Cancellations made between 24 to 48 hours prior to the service will incur a 50% cancellation fee. The remaining balance will be refunded.
- Full Charge (100% Fee):
- No-shows, cancellations received less than 24 hours before the service, or last-minute changes will result in a full charge for the booked service.
3. Exceptions
- Force Majeure: If cancellation is due to unforeseen events (e.g., natural disasters, government restrictions), Vortex may:
- Reschedule services free of charge where possible.
- Refund amounts not yet incurred (e.g., administrative fees, deposits).
- Vortex-initiated Cancellations: In rare cases where Vortex cancels a service (e.g., operational constraints), you will be notified promptly and offered a full refund or rescheduling option.
4. Dispute Resolution
If you disagree with a cancellation decision:
1. Contact info@vortex-sec.com within 7 business days of the cancellation notice.
2. Provide evidence (e.g., emails, contracts) to support your case.
3. Decisions by Vortex’s customer service team are final.
5. Refund Process
Approved refunds will be processed within 10–14 business days, depending on the payment method used.
6. Policy Updates
Vortex reserves the right to modify this policy at any time. Updated terms will be posted here, and effective immediately upon publication.
